We are hiring a part-time legal assistant / office manager. The person hired for this position will be primarily responsible for client care and relationship management, as well as the back-end operations of the law practice which currently has three full-time lawyers. This position has the potential to grow into full-time hours. While the position could evolve and grow over time to include more responsibility and marketing activities, initial responsibilities include:
Managing vendors and processing payments
Editing and processing monthly invoices and payment from clients, and following up on past due accounts
Working with our bookkeeper to process payroll and reconcile accounts
Preparing legal documents for court filing, including occasional court runs
Drafting correspondence and agreements
Following up on correspondence with clients, opposing counsel and others;
Coordinating office staff logistics
Reception duties, including welcoming clients
Preparing room and materials for mediations and meetings, including agreements and client welcome packages
Preparing and filing Simple Applications for Divorce
Assembling document briefs
Completing NFP Statements and Financial Statements, gathering financial disclosure
Completing administrative duties such as making copies, answering and directing phone calls
As-needed projects including organizing office events and charitable projects
Results- and Detail-Oriented: Ability to handle multiple cases and projects simultaneously, meet deadlines, and work with minimal supervision. Highly organized and detail oriented.
Polished: Professional attitude and appearance.
Flexible: Willingness and ability to adjust to changing conditions or priorities.
Enjoys People: Natural relationship builder, excited about helping our clients through a difficult time in their life, excellent interpersonal and communication skills.
Initiative: Desire to jump in to projects, to identify where you can assist, to take action and make suggestions for work and process improvements.
College diploma from a Law Clerk or related program
Prior experience as a law clerk, legal assistant or office manager is an asset
Strong written and oral communication skills
Intermediate to advanced skills in Microsoft Office Suite and Divorcemate
Experience with Clio practice management software is an asset
Must be comfortable with technology and working in a primarily paperless law firm environment
Start Date: September 2019
Location: Fresh Legal, Ottawa, ON (Centretown)
Salary: Commensurate with experience
Position Type: Part-time (22.5 hours/week)
